Job Description

KDKA-TV is seeking an administrative assistant who brings organization and creativity to our team. This onsite position will play a pivotal role as liaison between departments.

Responsibilities:
  • Manage Outlook Calendar, schedule meetings, maintain incoming and outgoing correspondence, handle overlapping meetings, events, and conflicts
  • Coordinate catering, printouts, decks or anything needed for meetings or events
  • Coordinate and maintain travel itineraries and expenses, books travel
  • Process expense reports and perform invoicing for a variety of different areas
  • Assist with internal communications (agenda reports, maintain department lists, newsletters, build and create decks, etc)
  • Maintain postage account, mail/packages
  • Assist and work with other departments and key contacts as needed
  • Assist and coordinate station events and community initiatives including job fairs
  • Pulls daily pacing report and prepares summary excel spreadsheet
  • Orders and monitors office supplies and other gifts and supplies as needed
  • Prepares purchase requisitions, follow up on vendor onboard status, preps and codes documents for payment
  • Maintains supply rooms and merchandise
  • Maintains stations contests files and updates prize winner eligibility
  • Front desk duties as assigned including screening and forwarding calls to appropriate department personnel; screen and escort visitors
Basic Qualifications:
  • Excellent organizational skills and detailed oriented
  • 3+ years of experience in related area
  • Strong written and verbal communication skills
  • Proficient with software including Outlook, Word, Excel, PowerPoint, Sharepoint
  • Ability to multitask and adapt in a fast paced environment
  • Ability to maintain confidentiality regarding issues or information received
  • Energetic, friendly, self-starting, positive
  • Onsite position
