Job Description

We are seeking an experienced Administrative Assistant to support our executives on the Publicity teams in Los Angeles and New York.

A successful candidate will be detail oriented, self-motivated, responsible, proactive, and able to juggle multiple responsibilities. They will need to have  strong organizational skills and unwavering attention to detail at all times. They should also display interest and enjoyment in planning team activities and events.  This is a demanding and fast-moving position that requires someone who is able to exercise good judgment and significant initiative as well as prioritize the various needs of the team.

Specific responsibilities include, but are not limited to:
  • Maintain calendars for 4 publicity executives and alignment with their direct reports, including scheduling meetings both internally and externally, and booking various events and meetings
  • Coordinate travel arrangements, both domestically and internationally, including passport renewals and processing visas
  • Plan team and cross-functional offsites through coordination with hotels and vendors for lodging, catering, flights, A/V, and transport
  • Handle and process monthly expense reports for 4 publicity directors
  • Manage setting up new vendors, agencies and freelancers SOW’s, contracts and payments
  • Maintain, curate and distribute department’s press facing “weekly screener letter” 
  • Keep media center updated with relevant information about upcoming series and assist with general queries / issues / troubleshooting/assigning press screeners as needed
  • Main point of contact with internal media monitoring service and manage tracking list 
  • Support in compiling press clips for titles on an as needed basis
  • Assist directors with internal travel needs as well as assisting the teams with talent travel and itineraries for large scale events when needed
  • Update and manage press lists, press DLs and internal team DL’s
  • Create and manage Complimentary Membership/Subscription Codes
  • Schedule screenings for press and key contacts 
  • Handle drive-ons for guests
  • Manage inquiries from the general series PR inbox and route to campaign leads   
  • Maintain and update team onboarding documents and assist with onboarding new hires
Qualifications:
  • BA/BS Degree - 3-5+ years as an executive assistant or administrative assistant 
  • Prior experience supporting marketing/PR executives is preferred
  • Strong written and verbal communication skills and the ability to multi-task
  • Event organization experience
  • Proficiency in Google Preferred: Gmail, GCalendar, Google Docs, Google Groups, MS Word/Excel
  • Ability to be discrete and maintain confidential information
  • Understanding of how to prioritize and respond accordingly
  • Team-player who operates in a fast-paced team-oriented setting
