Job Description

Reporting to the Co-Head of Development and Production, you will perform administrative duties including managing phones, scheduling meetings, booking travel, preparing expense reports, and maintaining organizational documents. This is an opportunity to not only work in the Development/Production department but also alongside our teams in Physical Production, Post-Production, Acquisitions, etc. Ideal candidates are detail oriented, proactive, and organized. Must be able to conduct business with the utmost confidentiality.

Responsibilities:
  • Manage calendar for executive, including scheduling and confirming meetings both internally and externally
  • Manage phones, roll calls and take notes, and update phone sheet
  • Maintain a log of incoming script submissions and disseminate this information with the appropriate internal departments
  • Coordinate domestic and international travel and logistics for both executive and talent
  • Prepare and submit expense reports
  • Assist with general office tasks, including ordering and maintaining office supplies and food stocks for department
  • Develop and maintain a thorough familiarity of all projects occurring within the company
  • Liaise closely with the President’s assistant, as well as with executives, talent, and other assistants, both internally and externally
  • Support departmental projects as needed, including, but not limited to, maintaining organizational documents, grids and databases, and preparing  agendas and memos for high-level leadership meetings
Experience / Qualifications:
  • Bachelor’s degree or equivalent work experience
  • Minimum 2 years’ experience on a Production Company or Studio desk (agency experience preferred)
  • Ability to work independently and proactively to solve problems
  • Ability to work with confidential information
  • Strong people skills, including the ability to work effectively and collaboratively as part of a team
  • Ability to take initiative and work with limited direction
  • Positive attitude with the ability to be resourceful and flexible 
  • Detail-oriented with superior organizational skills
  • Excellent communication skills, both written and verbal
  • Enthusiasm for film, particularly specialty/arthouse films
  • Strong computer literacy and proficiency with Microsoft Office
  • Demonstrated ability to prioritize, multitask, meet deadlines, and change course of action quickly
The hiring range for this position in Burbank, CA is $63,400 to $85,000 per year based on a 40-hour work week.
