Job Description

Compensation Range: $40,000–$45,000 Depending on Experience

The Atlanta Jewish Film Festival (AJFF), an Atlanta based nonprofit arts organization, is seeking an
Executive Assistant to provide timely support to the AJFF leadership team. Primary duties will include meeting scheduling, coordinating events, digital filing of records, and leading assigned projects. The ideal candidate will possess strong interpersonal skills and professionalism.

Responsibilities

•Assists Executive and Artistic Director with meeting scheduling, agenda preparation, meeting documents, and notetaking.
•Manages the Executive and Artistic Director’s overall schedule/calendar to ensure that commitments are
adhered to and follow ups are timely.
•Assists in coordinating correspondence between the Executive Director and sponsors, staff, board of directors and partner organizations
•Addresses tasks proactively, prioritizing conflicting needs, and ensures project success within deadlines.
•Coordinates event planning for internal meetings to include venue booking, catering, and meeting preparations.
•Handle administrative duties for the Board of Directors, which include meeting coordination, remote meeting tech setup, digital record upkeep, accurate documentation of activities and follow-up.
•Supports the annual development campaign with administrative tasks and event coordination.
•Manages internal records for senior staff leadership and the Grants Manager, including grant calendars, key
metrics databases, and after-action reports.
•Submit expense reports on behalf of the Executive Director.
•Other duties as assigned by the Executive Director and senior staff leadership.

•Ability to work remotely (must be available for in-person meetings and events).
•Proficiency in software tools, including Microsoft Office (Outlook, Word, Excel, and PowerPoint), Slack and
Zoom. Salesforce and AirTable experience are a plus.

Salary and Hours

•Full time position–37.5 hours per week
•Anticipate extended work hours, particularly during the annual film festival and other special programs, which include evenings and weekends
