Job Description

The Executive Assistant will organize, assist, coordinate and support 4-5 executives in the Sales teams. Additionally, they will help foster teamwork and cohesiveness both among the team and with other executives.  They must have had success working independently while liaising with high profile, internal and external C-suite executives and the ability to thrive in a dynamic, demanding environment, while maintaining a positive, customer focused attitude.  With proven performance, the successful incumbent will have the opportunity to work on projects, supporting the department.

This role is based in New York and reports to the Executive Vice President, Advanced Advertising Sales, Data Strategy & Operations.

About You
You are a team player and able to handle confidential matters with discretion, exercise good judgment in a variety of situations, possess strong written and verbal communication, administrative and organizational skills, and proven success maintaining a realistic balance among multiple, shifting priorities.

Your Day to Day 
  • Provide administrative support to both Sales executives and sales enablement teams
  • Maintain frequently changing calendars and coordinate all aspects of confidential executive level appointments, meetings, receptions, town halls, video conferences and live meetings.
  • Communications coverage, screen calls with diplomacy, determine need for immediate attention or relay messages.
  • Arrange video-based meetings including multi location video conferences and other technology needs in advance of the meeting
  • Coordinate global/domestic travel itineraries and manage timely processing of expenses
  • Manage multiple competing priorities daily and execute within guidelines set, take initiative to assist as issues arise and find/proposed solutions to problems as they arise.
  • Acts as “gatekeeper” role, creating win-win situations for direct access to the executives & office.
  • Composing and preparing correspondence (presentations, memos, emails) on request.
  • Research, extract and compile data for the team on routine and special projects.
  • Respond to routine requests for information from external and internal sources.
  • Coordinate team calendar, meeting locations, meals and dinners for department off-sites and meetings.
  • Process invoices, organize and maintain filing system and orders office supplies.
  • Must communicate in professional manner with members of the department, and remainder of organization.
  • Responsible for the administrative on-boarding/off-boarding of department employees.
  • Other responsibilities, as assigned by EVPs or other senior leaders in the department.
You Have
  • Bachelor’s degree or equivalent experience
  • Minimum 5 years of experience in an Executive Assistant or equivalent role/experience
  • Experience with Word, Excel, PowerPoint

  • Applicants must be currently authorized to work in the United States on a full-time basis
  • Must be willing to work from office in New York, NY (onsite)
  • Must be willing and able to be available for requests / work outside of traditional business hours
