Job Description
Provides high level executive administrative support, including but not limited to schedule and travel management, expense reports, sensitive communications, and acting as liaison to four top executives within and outside of the company.
Your Role Accountabilities…
- Schedule appointments, maintains and update SVPs’ and VPs’ very busy daily calendars. Thinking ahead for the week and the month to ensure there are no double bookings during calendar management. Work independently and resourcefully decision making and problem solving.
- Function as administrative liaison to departmental staff, other departments, external vendors, and consultants. Interface with staff (at all levels) in a fast-paced environment while remaining flexible, proactive, resourceful, and efficient.
- Respond to internal and external inquiries in a timely manner and provide routine information within the scope of authority.
- Schedule, organize and coordinate group meetings and facilities, including travel, transportation/hotel arrangements, prepare and distribute materials, agendas, notes, handouts, etc.
- Arrange presentations and conferences, coordinate equipment needs and refreshments, compile and distribute materials, etc.
- Responsible for the financial processes of check requests, invoices and purchase orders.
- Arrange travel itineraries and prepare travel and expense reports.
- Distribute correspondence and other material to department staff.
- Establish and maintain records and files for SVP. Review, sort and file a variety of materials.
- Provide data entry and clerical support to Programming, Digital, Research and Development Departments as needed.
- Function as administrative liaison to remote TLC Office Locations, departmental staff, other departments, external vendors and consultants.
- Perform other related duties as assigned.
Qualifications and Experience...
- Bachelor's degree in related field of study or Bachelor’s Degree and Demonstrated Interest in related field - I.e., Minor, Concentration, Clubs, Internships, etc.
- Passion for and desire to work in Media industry. Familiarity with TLC and Discovery a plus
- Excellent administrative, critical reasoning, and problem-solving skills.
- Forward-thinking in terms of scheduling meetings (making sure meetings aren’t overlapping and important meetings are prioritized as needed while other meetings are rescheduled).
- Being able to manage 4 different Executives each with unique styles and ways of running their schedules.
- Experienced in managing calendars, schedules and project deadlines a must
- Must be articulate, personable, detail-oriented, and have strong organizational, communication, and administrative skills.

- Strong interpersonal and diplomatic skills
- Excellent time management skills- prioritize competing deadlines in a fast-paced environment
- Self-motivated, resourceful, collaborative, and a demonstrated ability to take the initiative
- Must demonstrate confidentiality and flexibility in accepting new and changing responsibilities. Must have significant experience and demonstrated competency in providing senior executive administrative assistance.
- Strong computer skills, including proficiency in Google Suite, Database applications (Microsoft Word, Excel, Power Point and Outlook
Pay Range: $45,500.00 - $84,500.00 salary per year.
