Job Description
This includes phone and calendar management, taking notes during important phone calls, and special projects as assigned.
Responsibilities:
- Provides support for Senior Vice President of Casting
- Manage all scheduling and calendar for executive
- Assist in talent outreach initiatives with the Senior Vice President
- Develops and maintains databases, distribution lists, mailing lists and filing systems
- Handles travel arrangements, reservations, etc. on behalf of the Senior Vice President
- Maintains standards of strict confidentiality with respect to all matters and documents
- Ability to work well with executives, staff members, talent, and visitors
- Maintain calendar, phones and travel arrangements
- Submit expense reports on behalf of executives and talent initiatives
- Organize files, contracts and legal documentation
- Prepare presentations for internal/external meetings
- Handle client contact list and correspondence with clients
- Edit and upload actor materials such as auditions, demos, etc. via Cast-It, iMovie, Final Cut Pro, QuickTime
Basic Qualifications:
- 1+ years supporting an executive in an administrative capacity in Casting, at an agency or a Casting Office
- Demonstrated proficiency with MS Internet Explorer, PowerPoint, Word, Excel, and Outlook
- Willingness to work a flexible schedule to accommodate overtime as needed
- Experience building and maintaining filing systems and organizing and maintaining large amounts of data
- Excellent verbal and written communication skills including telephone etiquette
- Ability to assume responsibility, function effectively in team environment or independently, with minimal supervision
- Detail oriented, organized, and able to multi-task
- Demonstrated proactive problem-solving skills
- Demonstrated ability to handle confidential and sensitive information
- Ability to function in a demanding environment with competing and changing priorities
- Ability to recognize a need and take ownership of its completion
- Ability to work as a team player within the department and assist other executives and assistants when needed
Preferred Qualifications:
2+ years supporting an executive in an administrative capacity in Casting, at an agency or a Casting Office
Required Education:
Bachelor’s Degree or equivalent work experience
