Job Description
We’re seeking an experienced Executive Assistant and Office Manager. In this role, you’ll have a great opportunity to build your skills and be a large part of a successful organization.
What You'll Do:
- Collaborative relationship to assist in advancing the goals of the Market President and other managers.
- Schedule appointments, plan meetings, maintain calendars, coordinate travel arrangements and process expenses
- Team player with excellent communication skills; be the “hub” by providing constant coordination with other executives and their teams, and internal staff members
- Organize daily, weekly & monthly calendars—and work from a constantly updated shared ‘to do’ list
- Manages in-office guests and guests for recordings or meetings with the Market President and others as needed
- Anticipate and interpret the needs of management with minimal direction
- Screen calls and respond to general inquiries for the building/answer phones as needed
- Plan and coordinates staff and team building events
- Handles mailings for communications
- Manage department head meetings, coordination with other managers and their teams
- Manage trade, various payroll solutions, EEO requirements
- Be available as needed after-hours and weekends during busy times
- This position will eventually be located in new offices in the Eastern Market.
What You'll Need:
- Significant experience as an Executive Assistant across sales, marketing, operations, finance, or other industry
- Understanding of office operations.
- Ability to be polished and operate efficiently in pro-active, detail-oriented, fast paced, and dynamic environment.
- Extreme confidentiality is a must
- Excellent and precise communication skills
- Ability to build rapport and commit details about people and events to memory
- Urgency, collaboration, resilience are all required
- Positive outlook and ability to manage stress when multi tasking
- Strong MS Office Suite and Apple products a must
