Job Description

At National Geographic Content, our mission is to tell gripping factual stories that entertain and inspire a deeper connection to our world. The way we do this through our storytelling platforms across television, film, editorial, and social media where we reach audiences every day. The National Geographic team is seeking an Executive Assistant to support the President of National Geographic.

As the Executive Assistant to the President of National Geographic, the ideal candidate must be accustomed to supporting high-level executives and manage multiple administrative tasks simultaneously in a fast-paced, often changing environment.

The successful candidate will effectively balance changing demands, manage a dynamic schedule, and function well under pressure. Additionally, the Executive Assistant will build collaborative relationships with other executives and assistants throughout the company. A high level of professionalism and confidentiality is required.

It requires a high level of integrity and discretion in handling confidential information, professional decorum to represent and interface with senior executives both inside and outside the Company. We are seeking candidates who are self-starters able to anticipate needs, offer creativity to initiate enhancements and maximize work products, drive work products and showcase action-oriented follow-through, master technology and a variety of computer programs, be flexible with work schedule and meet impromptu demands.

This position is required to be in the office 4 days a week and 1 day remote.

Responsibilities:

Provide overall administrative support for a high-level executive including but not limited to the following areas:

Executive Calendar and Schedule:
  • Manage and maintain the President’s professional calendar.
  • Coordinate and confirm all calendar matters, including internal and external meetings, establishing conference calls, and coordinating meetings over multiple time zones.
  • Manage all worldwide travel arrangements and trip tracking/oversight (itineraries, flight, hotel, car, meeting coordination) and all related expense management.
  • Work in partnership with the Chief of Staff to conduct a thorough meeting audit on a semi-annual basis, to analyze and provide recommendations of how President can optimize her time.
Communications:
  • Answer and screen incoming phone calls/voice messages.
  • Build strong relationships internally with office counterparts within the company and externally with office counterparts sitting at external agencies or organizations.
  • Prepare, manage, and file confidential memos, business updates, meeting notes.
  • Interact with a wide variety of Disney and external contacts on behalf of the executive.
Office Operations:
  • Manage the office environment by maintaining supplies and SAP purchasing.
  • Assist Chief of Staff to track and manage President’s office budget including invoice intake and expense requests.
  • Perform daily miscellaneous errands in the office as needed (greeting guests, assisting vendors, etc.).
  • Prepare, manage, and execute any weekly or monthly reports as requested by other executive offices.
  • Assist the Chief of Staff on any special projects or requests including assisting with presentation edits in keynote, gathering of creative assets for projects or presentations, and planning/coordination for senior leadership offsites.
  • Ordering and coordinating gifts for special occasions or events.
Basic Qualifications:
  • 2+ years administrative experience supporting a senior level executive (corporate environment preferred).
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritize, independently managing and disseminating a variety of assignments punctually and efficiently.
  • Thrive in a fast-paced environment with strong organizational skills, precise attention to detail, and commitment to consistent follow-through.
  • Self-starter who has a bias for action and proactively problem solves.
  • Demonstrate professionalism and the ability to maintain the highest level of confidentiality.
  • Collaborative working style and strong people skills, partnering with key stakeholders at all levels of the organization.
  • Maintain a positive, professional demeanor under pressure.
  • Ability to anticipate the executive’s needs and effectively handle frequently changing priorities.
  • Applies good instincts and judgement navigating complex situations and environments.
  • Strong interpersonal and relationship building skills to instill trust and confidence.
  • Strong computer proficiency in Apple Keynote, Microsoft Applications (Outlook, Word, Excel, PowerPoint), and Zoom.
Preferred Qualifications:
  • 3+ years prior experience supporting senior-level executives in a corporate environment, entertainment.
  • Knowledge of Workday and SAP Concur.
