Job Description

The Executive Assistant to the VP & General Manager is a key role responsible for providing comprehensive administrative support to ensure the smooth and efficient operation of the executive’s office.  This role requires a high level of professionalism, discretion, and organizational skills, as well as the ability to interface seamlessly with internal and external stakeholders.

Your Role Accountabilities…

Schedule Coordination:
  • Manage and coordinate complex calendars for the VP & General Manager and leadership team, including scheduling and confirming meetings, appointments and travel arrangements.
  • Responsible for arranging & coordinating schedule(s), planning business appointments & meetings, screening calls & inquiries for VP.
  • Anticipates and resolves conflicts proactively
Event Planning:
  • Organize and prepare for meetings, including gathering documents and attending to logistics of meetings, department events, and special functions with meticulous attention to detail.
  • Responsible for creating & organizing presentations for VP. As well as sending out communication & announcements.
  • Arrange special parking and access for business guests and executive visitors.
Communication and Interface:
  • Draft, review and send communications on behalf of VP & General Manager and leadership team.
  • Act as a liaison between the VP & General Manager and internal/external contacts, ensuring effective communication and follow-up.
  • Interface with the highest levels of the company on special projects as directed.
  • Prepare expense reports, arrange travel, coordinate accommodations, and reconcile P-Card.
Administrative Support:
  • Prioritize emails and respond when necessary
  • Answer and respond to phone calls, communicate messages and information to the appropriate person
  • Maintain various records and documents
  • Oversee subscriptions, office supplies, and various office support functions to maintain and efficient and organized workplace.
  • Handle sensitive information with discretion and confidentiality.
  • Assist assigned Manager with coordinating & assembling client gifts, as well as planning & coordinating functions for the department which may include awards, luncheons, holiday parties and other departmental functions.
Special Projects:
  • Assist in the coordination and management of special projects as assigned by the VP & General Manager and leadership team
  • Perform other related duties as requested and/or assigned.
Qualifications & Experience…
  • Bachelor’s Degree in Business Administration or related field preferred
  • Minimum of 2 years of relevant work experience required.
  • Expert skills in Microsoft Word, Excel, PowerPoint and Outlook
  • Must have the ability to anticipate needs of the department
  • Must be able to work under strict time constraints
  • Must be pro-active
  • Must have excellent communication skills
  • Must be flexible
  • Must have calm demeanor, patience and pleasant personality as candidate will be dealing with client as well as staff issues
  • Must have discretion, will be working with confidential information
Pay Range: $41,307.00 - $76,712.00 salary per year.
