Job Description

The Festival Lounge Assistant Manager supports the Festival Lounge Manager in the design, build out, and management of the 2024 SFFILM Festival Lounge, a hospitality space that is open to all badge holders (including filmmakers, press, Board, staff, donors, etc.) Along with serving as the central gathering space during the festival, the Festival Lounge is also the location of Filmmaker Check-In, Press Check-In, and the default location for press lines during the Festival. Other staff workspace may also be part of the Lounge depending on location.

Leading up to the Festival, this role will work closely with other departments on the goals and execution of Lounge programs, especially with the Development team on procuring in-kind donations and executing sponsor obligations. This role will flexibility support the day to day operations of the Lounge, with a focus on high level hospitality. They will help execute all events at the Lounge, and will oversee set up and break down, inventory management, and any other Lounge volunteers and staff. This position is a great fit for someone who is interested in both events and production work, as it can involve heavy production work, and also involves a high level of guest interaction.

This position is expected to provide on-site support for the 5 day, in-person SFFILM Festival (April 24 – 28) in venues across the San Francisco Bay Area, as well as several pre-fest launch events, and to work in accordance with in-office requirements as determined by organization-wide and department policies. Application review begins January 25 but will be rolling after that. The ideal start date for this position is April 8, 2024. This position is paid hourly at the rate of $22 per hour and is eligible for overtime. The end date for this role is May 2, 2024. Some night and weekend availability is required.

Responsibilities
  • Work closely with the Festival Lounge Manager on pre-Festival planning, supporting rentals, scheduling, and other duties as needed 
  • Work in tandem with the Development department to assist in procurement of food and beverage donations for Festival Lounge, and to support fulfillment of sponsorship contracts in those spaces, including facilitating deliveries, leading activations and programming sponsored events
  • Assist with programming events and entertainment at the in Festival Lounge, spaces such as mixers, receptions, and panels
  • Work with Volunteer Manager to ensure appropriate volunteer coverage at the Festival Lounge, including staffing Lead Volunteers in key positions as necessary 
  • With the Festival Lounge Manager, lead the day-to-day operations of the Lounge, including setting up and breaking down, stocking and cleaning food and bar spaces, heavy lifting, and other duties as needed 
  • Act as host for festival guests, maintaining clean, well-stocked hospitality spaces and engaging with guests in a warm and welcoming manner
  • Assist with tracking inventory of all food, beverage, and other product
  • Assist with procurement of furniture and décor for Festival Lounge, supporting tracking of deliveries and movements for pre- and post-festival
  • Support and manage the setup and breakdown of Festival Lounge,  including delivery, return, and payment of all rented furniture and equipment
  • Create a written wrap-report and summary of all necessary timeline info
Qualifications
  • Excellent communication, customer service and delegation skills
  • Experience designing, physically producing and managing functional and welcoming public spaces on a tight budget
  • Excellent decision-making and creative problem-solving skills
  • Ability to juggle multiple tasks and deadlines across several Festival spaces while maintaining high quality of work and a positive attitude
  • Experience working as part of a team, collaborating with managers and other departments to fully execute selected tasks and operate confidently
  • At ease interacting with people with vastly different backgrounds and roles
  • Comfortable with the heavy lifting and labor inherent in loading in and out festival sites
  • Comfort with organization and scheduling in systems like Excel
  • Possess great energy and efficiency
  • Familiarity with Bay Area event venues, artists, and performers a plus
