Job Description

The Marketing Assistant is responsible for providing administrative and project support to the Director, Marketing, Sr. Manager, Integrated Planning and Sr. Manager, Creative Services. This position serves as the administrative hub for the Marketing team, assisting with all aspects of day-to-day management required for its successful and efficient operation. 

Responsibilities include but are not limited to: 
  • Prioritize and manage multiple Outlook calendars including meeting scheduling and prioritizing changes to the schedule in real-time as the day requires.  
  • Book and facilitate meetings, including communicating with participants regarding time, location, attendees, agenda, hosting guests, and refreshments. Book conference room space, often across multiple locations and time zones. 
  • Answer phone calls promptly and cordially and route them accordingly. 
  • Serve as the “administrative hub” of the marketing department, including meeting notes, meeting materials, and department supplies.  
  • Coordinate domestic and international travel arrangements via Corporate Travel. Provide complete and accurate itineraries. 
  • Prepare expense reports and ensure corporate credit card payments are processed on a monthly basis. 
  • Manage a heavy and consistent volume of department invoices in a timely fashion with the utmost degree of accuracy and tracking. Build skills to become an expert SAP user. 
  • Oversee vendor set up and contract process.  
  • Create and distribute monthly Audience Insights dashboards. 
  • Manage ticket requests on behalf of the marketing team and their internal and external partners. 
  • Manage upload process for Wonderland, DTG’s digital asset management program. 
  • Support social listening and community management o 
  • Maintain order and organization to department, including a large volume of electronic filing. 
  • Provide departmental support as needed. 
Qualifications 
  • 2+ years of professional experience, BA or equivalent degree in Marketing preferred but not required 
  • Appreciation for live entertainment is a plus. 
  • Exceptionally strong time management and organizational skills; high attention to detail from start to finish. 
  • Ability to be nimble and juggle many tasks at once is a must. It will help tremendously to always be one step ahead and to solve for issues before they arise in an effort to keep the team moving in the most efficient manner. 
  • Ability to accommodate various work styles and manage priorities accordingly in an ever-changing, fast paced environment. 
  • Well-versed in the Microsoft Office suite (Outlook, Word, Excel, PowerPoint) & Key Note 
  • Positive, can-do attitude with a process-driven, problem-solving approach to daily tasks and willingness to pitch in wherever needed. 
  • Ability to work overtime on occasion. 
The hiring range for this position in NYC is $46,112.50 to $59,675.00 per year based on a 40-hour work week.
