Job Description

The Communications team at SFFILM is seeking a detail-oriented Press Office Coordinator for the 2023 fall event season. The Press Office Coordinator is responsible for coordination and administrative support of all activities of the Press Office leading up to and during the fall event season primarily focused on earned media and supporting talent logistics for SFFILM Awards Night, Doc Stories, SF Honors and other fall Special Presentations. The role will serve as a connection between the systems and content from the communications and programming teams and our publicity team. This position reports to SFFILM’s Director of External Relations.

This is a temporary role starting October 23 and lasting through December 8. The position is full-time, 40 hours per week with an hourly rate of $22 per hour. This role will have some overtime expected with the highest concentration around Doc Stories (November 2-5) and SFFILM Awards Night (December 4.)

Our office schedule is a hybrid-remote, and this position must be able to work in the SFFILM offices at 455 Ninth street an average of 2-3 days per week, with occasional nights and weekends onsite at events.

Responsibilities:
  • Managing local media accreditation process (~50 applications), including outlet review/investigation, communication of approval/denial, and credential production
  • Managing email communication with film teams, studios, and distributors around press access for screeners and other press materials
  • In collaboration with the Digital Content Manager, collecting, organizing, and processing press materials for all SFFILM exhibition programs, including screeners, images, press kits, and clips
  • Leading setup of press download site on SFFILM.org and Dropbox, including upload of 200+ individual assets for rolling program announcements
  • Collaborating with PR team on materials processing and coverage tracking
  • Managing screener checkout system, for press per Programming’s instructions
  • Facilitating setup of interview space
  • Copyediting, and routing press release drafts for SFFILM programs as needed
  • Working screenings, events, red carpets, and receptions as needed
  • In collaboration with the Press Office, Programming, and Guest Office teams, support coordination, communication, and execution of talent movements between arrival, press, receptions/dinners, onstage, and departure for Doc Stories, SF Honors, Sloan, Awards Night, and other special presentations
  • Support integration of all Awards Night Talent press and onstage needs into pre-event communications with SFFILM Guest Office, PR team, and Awards Night Producer
  • Lead translation of Awards Night talent arrivals and departures into overall talent movements supporting both press and onstage show needs
  • Coordinate with Awards Night Producer and stage manager to actualize and harmonize SFFILM Awards Night talent flow from arrival to departure
  • Work closely with SFFILM Programming Team, Guest Office, and Transportation Team on coordinating day-of scheduling, communication and seamless delivery of Awards Night talent through arrival, and Press related movements
  • In collaboration with the Guest Office Manager, and with the support of the Director of Operations in hiring, coordinate scheduling, pre-event communication, and onsite oversight of Awards Night Talent Shadows
  • Write and submit a wrap report
Qualifications:
  • Extreme attention to detail
  • Ability to wrangle and organize thousands of individual assets (images, press kits, bios, video files, screening links) in a coherent and accessible manner
  • Experience working with journalists and film teams, studios and distributors
  • Comfort and experience working with studio and publicity teams in support of high-level talent
  • Experience coordinating and directing event support staff and volunteers
  • Superior communication skills, both email and phone
  • Ability to work effectively as part of a team
  • Proven ability to multitask and prioritize effectively
  • Experience with Filemaker preferred
  • Passion for film
