Job Description

Reporting to the Senior Director, Programming & Operations, PBS, and closely collaborating with the Project Director for this initiative focused on American history, the Senior Project Coordinator position will be responsible for supporting a significant programming and engagement initiative launching in 2025. Working with several external partners and multiple departments within PBS including programming, engagement, marketing, and education, the incumbent’s responsibilities will include managing the day-to-day activities and providing support to the Project Director and other key personnel as needed. Other duties will include guiding constant and efficient flow of information and communication across departments, tracking of deliverables, and managing a medium-to-high volume of calendar scheduling; and preparing presentation materials, note-taking in meetings, and other administrative tasks.

This is a grant position and fully funded through 12/31/2026.

Key responsibilities will include, but are not limited to: 
  • Support the development and execution of a strategic station engagement plan to support this key initiative. Maintain a 360-degree view of the project over its life, acting as one of the main points of contact and repository for information about project initiative.  
  • Conduct web-based research to identify project needs and incorporate findings into a set of activities that uphold these needs while also elevating the core goals of the initiative.  
  • Act as a liaison among producers, key departments, and external stakeholders, ensuring smooth and effective coordination, collaboration, and responsiveness across projects as determined by PBS.  
  • Work with subject matter consultants and experts to coordinate program materials and resources. 
  • Coordinate, facilitate, and/or moderate large-scale meetings with key staff, advisory board members and outside partners.  
  • Write and communicate project summaries for dissemination to internal and external partners.  
  • Advocate for all stations, ensuring that their needs are communicated throughout PBS.  
  • Coordinate and produce presentations for PBS system meetings and webinars.  
  • Manage budget tracking and forecasting in compliance with grant terms. 
  • Work closely with Project Director to schedule and coordinate large-scale meetings among stakeholders and PBS departments.  
  • Respond to requests for information in a timely and efficient manner.  
  • Maintain a calendar of events and timelines for project elements. 
  • Escalate issues and challenges related to the initiative to Project Director as needed. Fulfilling administrative tasks as required. 
  • Perform other duties as assigned.  
  • The ideal candidate for this role possesses a background or strong interest in administrative project management or engagement, and should have experience in supporting strategic partnerships, engagement activities, and event with PBS member stations (or a similar membership organization) and key stakeholders. 
Requirements for success: 
  • Minimum of 5-6 years of experience working in project planning, media, or community engagement  
  • Strong familiarity with public television programming and production on a local, national, and independent level.  
  • Solid understanding of station relations, engagement, and outreach on a local and national level.  
  • Bachelor’s degree in communications, media, project management, or related field. An equivalent combination of education and work experience will be considered. 
  • Excellent project management and organizational skills, including the ability to work on and manage multiple aspects of a project in numerous stages of development and completion.  
  • Excellent verbal, written, and interpersonal communication skills.  
  • Ability to work with PBS management, staff, and external partners in successful project execution.  
  • Multi-tasker who can prioritize and allocate time according to priorities. 
  • Highly organized; proactive; takes initiative. Strong people skills, diplomatic with a customer service orientation.  
  • Extreme attention to detail and an iterative learner. 
  • Ability to work under stressful circumstances and react to change productively. 
  • Ability to work as a team player in a collaborative environment. 
  • Strong Microsoft Office skills (especially Outlook, Excel, PowerPoint, and Word).
